Organize audit evidence and identify control gaps
Source-backed example. Practical decision guidance is proposed and untested; this is not a full implementation guide.
The problem
Audit preparation becomes uncertain when evidence is poorly organized and teams cannot tell which controls lack supporting material.
Agent job
Map authorized documents to audit controls, identify coverage gaps and propose file organization before any approved reorganization.
Expected output
A control-evidence matrix, gap list and proposed naming or organization changes.

Why use this
An audit folder can look complete because many documents are present while still lacking evidence for a control's operation during the relevant period. A policy statement, a screenshot and an approval ticket answer different questions and should not be treated as interchangeable.
A control-evidence matrix could make those distinctions explicit before the team reorganizes files. Control owners could review candidate gaps and request the right supporting material without interpreting a generated coverage label as an auditor's conclusion.
Why an agent / simpler alternative
- Useful judgment
Relate evidence to specific control requirements and distinguish documented intent from demonstrated operation.
- Simpler alternative
Use an existing evidence checklist when controls and file naming are stable and coverage is already understood.
- Unsuitable when
The organization expects certification, an audit opinion or unsupported assurances of compliance.
Proposed inputs
- Name
Control register
- Owner
Control owner
- Minimum scope
Selected control IDs, required evidence and review period
- Quality check
Identify authoritative control wording and assessment scope.
- Name
Evidence manifest
- Owner
Evidence custodian
- Minimum scope
Permitted document excerpts, dates, owners and file IDs
- Quality check
Mark drafts, missing periods and restricted materials.
Access and setup — proposed or unknown
- Proposed minimum
Read-only evidence copies and a separate proposed organization manifest.
- Compatibility unknowns
Unknown: current runtime, ticket-system access, document extraction and permission preservation.
- External actions requiring approval
Folder reorganization, ticket evidence collection beyond scope and external sharing with reviewers.
Expected deliverable and review checks
- Proposed artifact
Control-evidence matrix, candidate gap list and reversible naming proposal.
- Critical checks
Each coverage claim identifies evidence type, period and source location.
Unverified or absent evidence is distinguished from a confirmed control failure.
- Missing output evidence
No new workflow run or output inspection is performed for this editorial layer. The linked implementation evidence retains the original source-specific outcome and artifact limits.
Failure signals and proposed responses
- Signal
A policy document is marked proof of control operation.
- Why it matters
The matrix may conceal missing execution evidence.
- Proposed response
Relabel it as design evidence and list the operational evidence question separately.
- Signal
A screenshot falls outside the review period.
- Why it matters
Its relevance to the current assessment is uncertain.
- Proposed response
Flag temporal coverage and request appropriately dated material from the owner.
Effort and cost — unknown
- Setup work
Agree evidence categories and control-to-file identifiers.
- Ongoing review
Resolve candidate gaps and review organization proposals.
- Unknowns
Unknown: extraction quality, assessor effort and evidence collection costs.
First check — proposed, unexecuted
- Status
proposed_unexecuted
- Synthetic fixture
Three fictional controls have a policy, an out-of-period screenshot and an approval ticket with a missing approver.
- Acceptance checks
Distinguish evidence type and timing gaps.
Avoid labelling any control compliant or failed.
- Stop conditions
Real audit evidence, file moves or an audit opinion is required.
Limits
Proposed coverage review is not an audit opinion; evidence organization and sufficiency are separate questions.
