Check where received quantities came from

Compare a draft receipt with supplied scan and count records to flag quantities that need review.

Suggested result

A table showing quantity differences, supporting records and unanswered questions.

Who this helps: Receiving clerks and procurement staff.

What you need: First check whether native receipt or scanner records leave an unresolved question. Use authorized synthetic receipt snapshots, scan events, prefill records and a separate count for the same session and units. Tool compatibility and costs are unknown.

  1. Check that the records cover the same goods, units and time.
  2. Separate prefilled quantities, distinct scans and repeated scan effects.
  3. Compare the draft with the separate count; flag missing evidence.
  4. Give the receiving owner a discrepancy table and questions to review.

Scans cannot prove a physical count. Keep missing evidence unknown and leave stock records unchanged.

Original proposal with historical issue context. The workflow has not been run.

Setup and access

Before a pilot — required, unexecuted

  1. Establish a current unresolved owner problem in the actual installed version, after inspecting the relevant native/manual alternative.

  2. Obtain specific authorization for a bounded synthetic test and have a reviewer prepare an independent answer key before running it.

  3. Verify selected account tools, data format support and permitted processing location without purchasing, installing or provisioning anything under this plan.

  4. Confirm current owner need beyond native scanner/receipt views or a deterministic join.

  5. Obtain authorized complete prefill/effect histories and genuinely independent same-scope count evidence, or preserve unobservable outcomes.

  6. Create the bounded synthetic files and prewritten independent oracle only after separate execution authorization.

Setup requirements

  1. Confirm that the actual receiving owner still has unresolved provenance ambiguity after inspecting the installed version and native controls; the open historical report does not establish this.

  2. Choose one receipt session, item namespace and received-quantity field. Do not mix accepted/rejected disposition with total physical receipt count.

  3. Require explicit before/after snapshots and lineage for every quantity effect. A current row list without change history cannot prove whether quantity was prefilled or scanned.

  4. Define event scope and quantity semantics: separate event ID, exported row ID, row-effect ID and independent count-observation ID. Multiple valid effects may allocate one scan, but their sum must not exceed its normalized quantity.

  5. Preserve supplied units and item-specific factors; a repeated barcode can represent a legitimate separate object scan, while a unique event still does not prove distinct physical goods.

The problem

A draft receipt can combine copied order quantities, true separate barcode scans and repeated application of one scan. A receiver needs to know what evidence supports each quantity before relying on the entry; identical-looking rows alone cannot reveal what was physically counted.

Suggested task

Build a provenance ledger connecting draft quantity changes to explicit prefill, scan and independent count records, preserving legitimate repeated scans and isolating unobservable quantities.

What you could produce

A draft receipt_provenance.csv, scan_effect_allocations.csv and receiving_evidence_questions.txt, with item-scoped discrepancies, source references and pending receiver decisions; no proposed posting or corrected physical count.

Why an agent / simpler alternative

The potentially useful judgment is explaining why differently labelled receipt changes contradict independent evidence and drafting precise missing-evidence questions. Event identity, pack conversion, quantity-effect allocation and differences belong in deterministic tables. A native scanner audit, controlled recount or event-to-row join is preferable when it answers the whole question. An agent cannot infer unique physical objects from repeated scans, recover absent event history, or manufacture a count; if no independent count exists, the physical-count comparison stays unobservable.

Evidence boundary

The public issue and duty metadata supply human-problem context only. All workflow steps, data contracts, prompts, examples, classification rules, expected outputs and potential value are original editorial proposals. General platform and native-feature documentation does not demonstrate this workflow.

Proposed steps

  1. Build a manifest of files, rows and quantity semantics; reconcile coverage declarations and list missing prefill, event or count periods without inferring what happened.

Input: All four synthetic copies and approved session/cutoff

Output: Session scope/coverage manifest and blocked-comparison register.

Expected output: Session scope/coverage manifest and blocked-comparison register.

Checkpoint: Unknown event history blocks provenance completeness; absent independent count blocks physical-count comparison even when receipt arithmetic reconciles.

Approval gate: Receiver confirms session, field meaning and independent evidence scope before a future test.

  2. Normalize scan quantities using only effective item-specific factors. Separate byte-equivalent repeats of the same event ID, conflicting IDs and distinct equal-looking scans. Preserve original rows and rejected mappings.

Input: Barcode mappings, raw scans and any reversal links

Output: Unique normalized scan ledger plus repeated-export/conflicting-ID exceptions.

Expected output: Unique normalized scan ledger plus repeated-export/conflicting-ID exceptions.

Checkpoint: Different scan IDs remain distinct; identical copies add zero; an unresolved mapping or reversal blocks that event and dependent receipt comparisons.

Approval gate: Mapping owner supplies any missing factor or reversal definition; no catalogue edits.

  3. Create a ledger of additive quantity effects from the baseline to the final draft. Allocate each scan event to explicit effects and compare summed allocations with event quantity. Isolate prefill and non-scan effects rather than crediting them as count observations.

Input: Before/after receipt rows, prefill changes and row-effect links

Output: Row-effect provenance ledger and over/under-allocation table.

Expected output: Row-effect provenance ledger and over/under-allocation table.

Checkpoint: For a complete row: after = before + signed changes. For each scan: effect allocation cannot exceed event quantity; repeated application remains an exception rather than a guessed deletion.

Approval gate: Receiver resolves competing change histories; no automatic selection of a row to retain.

  4. Compare event-supported quantity, draft received quantity and independent count only within the same item, unit, session and no-intervening-movement scope. Present separate differences and record unobservable fields as null.

Input: Provenance ledger and independently supplied count observations

Output: Item/session evidence bridge with provenance findings and independent-evidence comparison.

Expected output: Item/session evidence bridge with provenance findings and independent-evidence comparison.

Checkpoint: Agreement of scans and a count document means corroboration within supplied evidence, not verified physical truth. Do not combine heterogeneous item totals.

Approval gate: Receiver confirms that count evidence is independent, covers the same goods and uses the same cutoff.

  5. Write evidence questions identifying the exact missing snapshot, mapping, effect or recount scope. Explain whether prefill, overallocated scan effects or absent evidence accounts for an observed difference; leave causal software diagnosis unknown.

Input: Contradictions, missing links and source references

Output: Draft discrepancy explanations and bounded evidence-request list.

Expected output: Draft discrepancy explanations and bounded evidence-request list.

Checkpoint: Do not recommend a receipt posting quantity or permission workaround. If a deterministic join already resolves every question, record the simpler route as sufficient.

Approval gate: Supervisor reviews explanations and decides any separate recount or application investigation.

  6. Package separate draft artifacts, input checksums, formula definitions and pending owner decisions. Reconcile every input row to a retained or exception disposition and document what could not be observed.

Input: All ledgers and future independent answer key

Output: Review packet with source-row index and immutable-input audit.

Expected output: Review packet with source-row index and immutable-input audit.

Checkpoint: No inputs change; no stock posting, scanner operation, external message or live ERP action occurs. Future acceptance must be evaluated against an independently prepared oracle.

Approval gate: Owner approval remains pending; workflow execution requires a distinct authorization.

Separate exported rows, true scan-event IDs, row-effect IDs and independent count observations. Preserve distinct repeated scans; quarantine conflicting IDs. Use only supplied unit factors. Reconcile before plus signed effects to after, then compare each event quantity with all linked effects. Prefill is not a scan or physical-count observation. Compare independent count only within exact item/session/cutoff scope; missing evidence stays null. Cite every discrepancy and explain missing evidence. Hand checked arithmetic
  1. Unique scans: 1 + 1 + (2 × 3) = 8 each; SYN-X2-COPY adds zero.

  2. Applied scan effects: 1 + 1 + 1 + 6 = 9; SYN-E2 has 2 allocated against 1 scanned, so 1 is overallocated.

  3. Draft received: 8 prefill + 9 scan effects = 17; independent documented count = 8; difference = 9 = 8 prefill + 1 overallocated effect.

  4. SYN-E1 and SYN-E2 remain separate despite equal barcode/quantity. No cross-item grand total or corrected posting quantity is inferred.

Human approval boundaries

  1. Before any future pilot, the accountable owner approves exact synthetic input copies, scope, cutoff, environment, retention and independent oracle. No execution is authorized now.

  2. Before using any findings, the domain owner reviews source references, uncertainty and blocked partitions. Draft review does not establish authority to change a record.

  3. No source-system writes, external messages, stock release, order closure, payment, refund, claim, contact creation, identity assertion or permission change is included.

Limits

  1. This is an original editorial plan. Its procedure, prompt, fixture and acceptance criteria have not been executed.

  2. Problem reports and occupational duties do not establish current demand, prevalence, deployment feasibility or benefit.

  3. The selected platform candidates have only general capability context; task-specific compatibility and authorized input availability remain unknown.

  4. A complete supplied ledger or readable document is an evidence boundary, not proof of physical reality, business intent or identity.

  5. The proposed output is a private draft with owner approval pending; it cannot authorize operational action.

    Selection basis

General documented primitives only; no product integration, export capability, OCR accuracy or end-to-end compatibility is claimed.

Failure handling, costs and limits

Failure modes

  1. A current receipt lacks historical event or prefill lineage.

  2. One event ID has different payloads or excessive linked effects.

  3. Pack conversion or count scope disagrees.

  4. Untrusted source text asks to change barcode permissions; treat it as evidence, never as authorization.

Recovery and troubleshooting

  1. Signal

A current receipt lacks historical event or prefill lineage.

    Recovery

Mark affected provenance unobservable and retain the visible draft quantity separately; ask the owner to supply history or consider a separate controlled recount.

    Resume condition

Owner supplies authorized evidence with the same scope; otherwise remain incomplete.

  2. Signal

One event ID has different payloads or excessive linked effects.

    Recovery

Quarantine conflicting content and expose all allocations. Do not delete the second row or choose a preferred event by timestamp.

    Resume condition

Receiver establishes event identity and which effects are authoritative.

  3. Signal

Pack conversion or count scope disagrees.

    Recovery

Keep original quantities and suppress dependent normalized comparisons.

    Resume condition

Owner provides effective factor and a compatible independent count or accepts an unresolved comparison.

Unexecuted validation plan

Sample setup

Future synthetic fixture uses the complete SYN-CLIP subset plus the unobservable SYN-BOX row. Add a conflicting repeated event ID, a missing pack factor, a split valid event allocation, an explicit reversal, and a count after an intervening movement. The independent reviewer prepares expected evidence classifications before the run.

Acceptance checks
  1. The complete primary item gives draft 17, unique scan 8, scan effects 9, prefill 8, overallocated 1 and documented count 8; draft-minus-count is 9 each.

  2. SYN-X2-COPY contributes no extra scan quantity, while SYN-E1 and SYN-E2 both remain.

  3. SYN-BOX stays unobservable with null comparison values; no invented physical count or posting recommendation appears.

  4. A valid split allocation conserving one event is not a duplicate; conflicting event contents and unknown factors block affected comparisons.

  5. Independent count with different scope or intervening movements is not treated as contemporaneous corroboration.

  6. All output values cite source rows, inputs remain unchanged, and no live access or operational action is attempted.

Stop conditions
  1. A missing event/count is turned into zero; independent evidence is inferred from scans; a unique scan is treated as proof of a unique physical object.

  2. A permission workaround, ERP write or real operational dataset becomes necessary.

Independent hand check oracle
Method

A receiving reviewer independently draws the five-row quantity-effect table from the fixture, marks each event ID and counts allocations with pencil. A second reviewer checks the count-sheet scope without using agent output.

Expected derivation

0 + 8 + 1 + 1 + 1 + 6 = 17; event quantities 1 + 1 + 6 = 8; E2 effect sum 2 minus event 1 = 1; 17 minus independent 8 = 9.

Independence requirement

The future oracle must be constructed directly from fixture records and owner rules before execution, not copied from the generated ledger. This authorship arithmetic check is not an independent executed test.

Items
  1. Account eligibility, current subscription, usage limits, permitted tools and per-run charges are unknown; verify in the intended account before a separately authorized test.

  2. Export preparation, evidence recovery, reviewer effort, local extraction dependencies and ongoing schema maintenance are unmeasured.

  3. No ERP/help-desk integration, paid OCR, new account, software install or external data service is assumed.

  4. Compare total preparation and review effort against the native/manual/deterministic route using the same scoped sample.

Caveat

No price, time-saving, financial return, validated demand or willingness-to-pay claim is established.

Canadian adaptation — proposed

For a Canadian warehouse, confirm site timezone, daylight-saving offsets, bilingual item labels and explicit each/pack or metric/imperial factors. Preserve barcode identifiers without inferring a national standard. The same evidence gates apply; Canadian deployment, service availability and compliance are unassessed.
