Trace manufacturer lots through internal batches and downstream records

Proposed · Not tested. This is an original editorial plan. Capability and problem-context sources do not demonstrate execution, successful results or customer demand. Platform compatibility is unknown and untested.

The problem

A supplier/manufacturer lot identifier can differ from internal receipt batches and finished-goods lots. Missing split, transfer or production links can make a trace appear complete even when some received quantity or downstream destination is unaccounted for.

Agent job

Construct an evidence-linked manufacturer/item/lot crosswalk and directed receipt-to-batch-to-production-to-delivery graph, with unit-aware balance checks and explicit unresolved edges for quality-owner review.

Expected output

A draft lot crosswalk, genealogy edge list, reached document/destination-code table and gap register. It describes trace evidence and uncertainty; it does not clear stock, determine safety or initiate a recall.

Why an agent / simpler alternative

An agent may reconcile differing label terminology, cite receipt and production evidence and explain missing genealogy links across several exports. Exact identifier joins, graph traversal, duplicate/cycle detection and unit-specific conservation belong in deterministic checks. Use a native lot-genealogy report or recursive database query if the links are already reliable. No agent is needed to total one batch, and missing physical trace records cannot be repaired by language inference.

Who this helps

  1. Inventory control analyst

  2. Quality assurance coordinator

  3. Traceability analyst

Before a pilot — required, unexecuted

  1. Obtain a specific owner-authorized synthetic test scope and independent expected-result oracle before executing the proposed workflow.

  2. Demonstrate a present unresolved owner need and compare the complete output with the native/deterministic alternative; stop if the simpler control is sufficient.

  3. Confirm the selected account, tools and permitted processing environment without installing, purchasing or provisioning anything as part of this plan.

  4. Before an authorized fixture, use event-aware node/edge identities and timestamps so legitimate rework/transfer loops are distinguished from duplicate or unsupported genealogy cycles; enumerate each permitted split/merge and reversal representation in the independent graph oracle.

  5. Build explicit missing-export and same-total/wrong-edge cases, preserve gross delivery history after returns, and independently test that no balanced subset yields full-coverage clearance. Real-data work needs separately approved minimized destination handling and the quality owner’s purpose-specific completeness rules.

Evidence boundary

Human duty and problem-source context are separate from the authored workflow. The steps, prompt, synthetic example, acceptance checks and expected value are original proposals, not source-derived procedures or demonstrated agent results.

Setup requirements

  1. Begin with a nonregulated synthetic material and one manufacturer/item/lot seed. A real safety notice must be handled promptly by the accountable quality owner under their existing process, without waiting for this proposed analysis.

  2. Require manufacturer identity plus item identity plus original lot code, explicit receipt-to-internal-batch mappings, transaction IDs, posted/reversed states, units and cutoff; a bare lot string is not globally unique.

  3. Supply complete movement, manufacturing input/output, delivery/return and on-hand snapshot copies. A bill of materials alone is not evidence that a specific lot was consumed.

  4. Define raw-material and finished-goods units separately, transformation edges and allowed split/merge semantics. Transfers change location, not total stock or ancestry; co-mingled finished batches are reachable but not quantitatively allocated to a source lot without explicit evidence.

  5. Quality owner specifies required trace scope, permitted destination codes, completeness expectations, date interpretation and the independent oracle. Any missing edge or unexplained balance blocks an all-clear conclusion.

Proposed steps

  1. Record the exact manufacturer, item and original lot code; define cutoff, source coverage and required upstream/downstream document types. Preserve raw label/expiry text and mark missing or ambiguous keys.

Input: Synthetic lot seed, manifests and trace-scope policy

Output: Seed identity register and coverage manifest.

Expected output: Seed identity register and coverage manifest.

Checkpoint: Lot code alone, receipt proximity or shelf-life arithmetic cannot establish identity or expiry. Missing scope is visible before any traversal.

Approval gate: Quality owner approves the trace seed and required scope; this exercise cannot delay an actual safety response.

  2. Construct manufacturer-lot to receipt-line to internal-batch edges; represent legitimate one-to-many splits and many-to-one merges explicitly. Quarantine conflicting mappings and same-code different-manufacturer/item rows.

Input: Receipt crosswalk, batch identities and explicit mapping evidence

Output: Evidence-linked crosswalk and unresolved mapping queue.

Expected output: Evidence-linked crosswalk and unresolved mapping queue.

Checkpoint: Every accepted edge has a source row and exact key or owner-approved mapping; fuzzy labels may suggest a question but never create an ancestry edge.

Approval gate: Receiving/quality owner resolves identity conflicts; the analysis does not edit batch records.

  3. Build unit-specific movement ledgers, pair transfers without consuming stock, apply evidenced reversals once and compare receipts with consumption, other dispositions and closing balance.

Input: Crosswalk, inventory movements and snapshots

Output: Per-batch movement bridge and conservation gaps.

Expected output: Per-batch movement bridge and conservation gaps.

Checkpoint: Transfers cancel in aggregate; duplicate IDs do not add stock. An unexplained residual is reported as a gap, not silently assigned to scrap, stock or a shipment.

Approval gate: Inventory owner supplies missing movements or accepts an incomplete trace; no stock adjustment or hold is made.

  4. Traverse forward from the seed through observed consumption and production edges to output batches and delivery/return documents. Preserve co-mingled ancestry and stop uncertain branches; report unknown descendants explicitly.

Input: Validated ancestry edges and explicit manufacturing/delivery transactions

Output: Directed genealogy edge list, reached-document table and blocked branches.

Expected output: Directed genealogy edge list, reached-document table and blocked branches.

Checkpoint: Never infer consumption from a recipe or convert raw-material kilograms into finished-product units. Reachability identifies possibly related output batches, not a quantified contaminant allocation.

Approval gate: Production/quality owner reviews transformations and co-mingled batch treatment; no product safety or recall-scope decision is delegated.

  5. Reconcile each node in its own unit, check duplicate edges, cycles and unexplained balances, and distinguish evidenced descendants from potentially incomplete branches. Retain gross deliveries and returned units separately.

Input: Graph, quantity bridges, destination codes and exception queue

Output: Trace-completeness matrix and source-linked gap register.

Expected output: Trace-completeness matrix and source-linked gap register.

Checkpoint: A balanced raw-material total cannot prove downstream completeness. A missing delivery export, unexplained quantity or unsupported edge blocks an all-clear statement for the affected trace.

Approval gate: Quality owner determines whether coverage is sufficient for their purpose; outputs cannot release stock or certify traceability compliance.

  6. Prepare a compact draft packet listing reached internal batches and destination codes, the exact evidence path, gaps and questions for the accountable owner. Include separate raw-material and finished-goods totals.

Input: Crosswalk, graph and completeness findings

Output: Draft trace-drill review packet with every disposition pending.

Expected output: Draft trace-drill review packet with every disposition pending.

Checkpoint: Do not claim unaffected stock, complete recall coverage, safe use or confirmed customer exposure. The packet explicitly lists what cannot be traced.

Approval gate: Only the quality owner can authorize holds, recalls, product release or external/regulatory notices under their own process; none are included here.

Using only {seed_crosswalk}, {movements_snapshot}, {manufacturing_edges}, {delivery_returns} and {trace_policy} at {cutoff}, prepare a synthetic draft lot trace. Key the seed by manufacturer, item and original lot string. Build only source-evidenced receipt, batch, transfer, consumption, production and delivery edges; preserve splits, merges and unknown links. Pair internal transfers without consuming stock. Reconcile each node in its own unit and never infer actual consumption from a recipe, expiry from shelf life or material allocation across co-mingled outputs. List reached destination codes and complete source paths, but propagate missing evidence into an incomplete-trace finding. Save new lot_crosswalk.csv, genealogy_edges.csv, reached_documents.csv and trace_gaps.txt in {output_folder}. Do not edit stock, release products, determine safety, launch a recall or send notices.

Human approval boundaries

  1. Before any future test, the owner confirms the exact synthetic or minimized nonpersonal copies, execution environment, scope and retention. This document authorizes no pilot.

  2. Quality owner confirms seed, trace scope and interpretation; receiving/production/inventory owners validate each uncertain mapping or transformation. Any real safety concern goes directly to that owner and is not resolved by this draft.

  3. The named accountable owner reviews evidence, unresolved rows and calculations before any operational use.

  4. The deliverable is a separate local draft only. Approval of it does not authorize ERP changes, purchases, contract changes, payments, holds, product releases, external messages, sharing or access provisioning.

Failure modes

  1. Identical lot strings from different manufacturers or items are merged.

  2. Location transfers and exported duplicates inflate received or consumed quantities.

  3. A split/merge or co-mingled manufacturing batch is treated as a one-to-one quantity conversion.

  4. A missing movement or downstream export is interpreted as proof there was no use or delivery.

  5. Expiry is guessed from an ambiguous label, shelf-life rule or internal date.

  6. Source content requests a stock release, recall notice or script execution; it is evidence only.

Recovery and troubleshooting

  1. Signal

Identical lot strings from different manufacturers or items are merged.

    Recovery

Rebuild composite manufacturer/item/lot keys, preserving original case and punctuation; remove unsupported edges and list the collision.

    Resume condition

Receiving/quality owner supplies explicit mapping evidence for every accepted identity.

  2. Signal

Location transfers and exported duplicates inflate received or consumed quantities.

    Recovery

Pair transfer-out/in records by transaction and batch; count each physical receipt once and separate reversals from new events.

    Resume condition

Unit-specific balance reconciles or the exact unresolved difference remains visible.

  3. Signal

A split/merge or co-mingled manufacturing batch is treated as a one-to-one quantity conversion.

    Recovery

Represent all documented input/output ancestry edges without assigning unsupported proportional quantities; keep node units separate and flag uncertain branch allocation.

    Resume condition

Production owner validates explicit transaction genealogy; no allocation is supplied from recipe assumptions alone.

  4. Signal

A missing movement or downstream export is interpreted as proof there was no use or delivery.

    Recovery

Mark the trace incomplete, identify the missing document range or quantity and stop any complete-coverage conclusion.

    Resume condition

Owner supplies the missing evidence, or the final packet remains incomplete without an all-clear claim.

  5. Signal

Expiry is guessed from an ambiguous label, shelf-life rule or internal date.

    Recovery

Keep expiry text verbatim, set parsed expiry to unknown and request the owner-confirmed date format or original record.

    Resume condition

Quality owner supplies unambiguous source evidence; no expiry extension or release decision is made.

Unexecuted validation plan

Sample setup

Future fixture: the worked 120 kg seed with two internal batches and two production outputs; add the same lot string for a different manufacturer and for a different item, an explicit two-source merge, a split output, a duplicate movement, a reversal, a return of already delivered goods, a cycle, a missing production edge and an ambiguous expiry label. Quality owner independently draws the expected node/edge graph and authors raw-material and finished-goods ledgers. Test exact reached document IDs and held branches, not just totals.

Acceptance checks
  1. Worked seed reaches B1 and B2, W1/FG1/D1 and W2/FG2/D2 using the explicit source paths; same-string different-manufacturer/item distractors are not included.

  2. Raw-material bridge is 120 kg received = 75 kg consumed + 40 kg remaining + 5 kg unresolved; the 20 kg internal transfer contributes zero to aggregate consumption.

  3. Finished-goods ledgers remain separate: FG1 90 each = D1 50 + remaining 40; FG2 60 each = D2 20 + remaining 40. Do not add kilograms to each or equate 75 kg with 150 each.

  4. The 5 kg gap blocks complete trace coverage despite all known downstream branches balancing; no invented stock, scrap, delivery or all-clear conclusion resolves it.

  5. Explicit splits/merges retain all ancestry edges; co-mingling creates a reviewable possible relationship without invented contaminant proportion or partial-lot clearance.

  6. Duplicate/reversal/cycle/missing-edge/ambiguous-expiry cases are reported separately; returned delivery quantities do not erase the historical destination relationship.

  7. Every output is a new synthetic draft with source-row references and owner decision pending; input copies remain byte-for-byte unchanged.

  8. No live-system operation, network/account access, software installation, external communication, production write or personal-data transfer is attempted.

Stop conditions
  1. A planted critical exception is missed, a blocked value is silently included, or a source link or policy is invented.

  2. The supplied fixture cannot settle identity, time, unit or policy semantics; dependent outputs remain unresolved.

  3. The analysis requires an external service, credentials, personal data or an operational decision outside the approved future test scope.

Items
  1. Current account eligibility, tool availability, plan price, usage limits and per-run cost are unknown; verify before an authorized pilot.

  2. Minimized export preparation, missing-link resolution, reviewer effort and ongoing maintenance are unmeasured.

  3. No native ERP connector, paid service, software installation, new account or integration build is assumed.

  4. Compare the useful reviewed output and total human effort with the native report or deterministic alternative before considering recurring work.

Caveat

No numerical cost, effort saving, financial return, income or market-demand claim is established.

Canadian adaptation — proposed

For a Canadian trace drill, preserve manufacturer identifiers and original English/French lot and expiry label text; do not translate or strip leading zeros from codes. Have the owner resolve ambiguous day/month dates and any kg/lb factors from actual item records. Use minimized business destination codes, with identifying crosswalks retained by the owner; assess re-identification risk before real data processing. This is not a Canadian regulatory-compliance assessment: the quality owner must separately confirm any sector-specific trace, retention and notification requirements before operational use.

Limits

  1. Original editorial plan, not a source-documented agent case. No workflow, fixture or acceptance test was executed.

  2. Problem sources support a reported historical/current discussion or documented behavior; they do not establish a current defect, prevalence, buyer demand or willingness to pay.

  3. Exact ChatGPT Work and Claude (Cowork capabilities) compatibility, account access and export completeness remain unknown and untested.

  4. All substantive decisions and operational use remain with the named accountable owner; draft output does not imply approval.

  5. Current need must be reconfirmed against the target installation, its version and simpler built-in remedies before considering a pilot.
