Find documentation gaps in incoming support tickets

Source-backed example. Practical decision guidance is proposed and untested; this is not a full implementation guide.

The problem

Support teams see recurring customer confusion but may struggle to turn individual tickets into a prioritized list of missing help content.

Agent job

Scan incoming support tickets against company knowledge and suggest documentation gaps for human validation.

Expected output

A reviewable set of help-document suggestions linked to the support context, without assumed issue creation or publication.

Why use this

  1. A support lead may repeatedly explain the same product behavior without knowing whether the help centre lacks an answer or customers simply cannot find it. Ticket wording alone can blur those two problems.

  2. A linked suggestion queue could separate missing content, unclear content and discoverability issues. That gives a documentation owner something concrete to assess before creating another article that duplicates existing material.

Why an agent / simpler alternative

Useful judgment

Compare customer questions with existing explanations and identify the unanswered part.

Simpler alternative

Use ticket tags and manual sampling when categories are stable and documentation coverage is obvious.

Unsuitable when

Tickets cannot be linked to the applicable product version or knowledge base.

Proposed inputs

  1. Name

    Ticket sample

    Owner

    Support lead

    Minimum scope

Redacted issue text, product area and relevant version

    Quality check

Remove secrets and unrelated customer details.

  2. Name

    Help-content snapshot

    Owner

    Documentation owner

    Minimum scope

Relevant article text, URLs and revision dates

    Quality check

Confirm which articles apply to the sampled product version.

Access and setup — proposed or unknown

Proposed minimum
  1. Read-only ticket exports and documentation copies.

Compatibility unknowns
  1. Unknown: exact runtime, ticket access and knowledge-index freshness.

External actions requiring approval
  1. Creating tracker issues, publishing documentation or disclosing ticket content.

Expected deliverable and review checks

Proposed artifact

Gap queue with ticket references, existing coverage, proposed reader question and uncertainty.

Critical checks
  1. Each suggestion explains the missing answer.

  2. Repeated tickets are grouped without claiming representative prevalence.

Missing output evidence

No accepted article, verified issue creation or improvement in support outcomes is established.

Failure signals and proposed responses

  1. Signal

An existing article already answers the question.

    Why it matters

    Another article could fragment guidance.

    Proposed response

Reclassify as wording or navigation review and cite the existing section.

  2. Signal

Different product versions produce opposing answers.

    Why it matters

A combined suggestion could teach incorrect behavior.

    Proposed response

Split by version and ask the product owner to resolve applicability.

Effort and cost — unknown

Setup work
  1. Select a bounded ticket sample and align document versions.

Ongoing review
  1. Have support and documentation owners validate proposed gaps.

Unknowns
  1. Unknown: indexing costs, sampling effort and accepted-suggestion rate.

First check — proposed, unexecuted

Status

proposed_unexecuted

Synthetic fixture

Three fictional questions: one answered verbatim, one absent from help content, and one tied to an older version.

Acceptance checks
  1. Only the absent answer is labelled a clear content gap.

  2. Version ambiguity remains explicit.

Stop conditions
  1. Product behavior must be invented to propose an answer.

Limits

  1. Editorial triage proposal; publication and downstream issue handling are separate decisions.
